Register, create a tenant, invite team members, and ship your first chatbot.
Getting started with BestAI
Welcome to BestAI. This guide walks you through everything from signing up to seeing your first AI receptionist live on your website. It is written for business owners and managers, no technical background required.
If you are running a New Zealand small business, you should be able to finish this guide in about 20 minutes.
What you can do
- Create your BestAI account and confirm your email
- Set up a workspace for your business
- Invite your team and choose roles
- Build your first chatbot
- Embed the chat widget on your website
- Optionally bring your own LLM API key
Step-by-step
1. Sign up
- Go to chat.yai.nz and click Sign up.
- Enter your work email and choose a password.
- Your password must be at least 12 characters and include letters and numbers.
- Submit the form. You will see a message asking you to check your email.
- Open the email titled “Confirm your BestAI account” from
noreply@yai.nz.- If you cannot see it, check your spam or junk folder.
- Click Confirm email. The link is valid for 24 hours.
You will be redirected to the sign-in page once your email is confirmed.
2. Sign in
- Sign in with your email and password.
- If this is your first visit, BestAI guides you straight into setting up a workspace.
- If you already belong to one or more workspaces, you land on the dashboard. Use the workspace switcher in the top left to swap between them.
For your protection, repeated failed sign-in attempts within 15 minutes temporarily lock the account. Wait a few minutes and try again, or use Forgot password to reset.
3. Create your workspace
A workspace represents your business in BestAI. It holds your chatbots, conversations, leads, billing, and team.
- On the workspace setup screen, choose:
- Workspace ID (3 to 32 characters, lowercase letters, numbers and hyphens). For example
acme-cafe. - Display name (the name your team sees, for example
Acme Cafe Auckland).

- Click Create. BestAI:
- Creates the workspace on the Chat Only Monthly plan by default.
- Makes you the Owner.
- Switches you into the new workspace.
You can own more than one workspace. There is no hard limit.
4. Invite your team
- From the dashboard, open Members.
- Click Invite member.
- Enter their email and choose a role:
- Owner — full control, including billing and workspace settings
- Admin — manage chatbots, members, and integrations
- Viewer — read-only access
- Support — view conversations and leads, reply where allowed
- They receive an invite email valid for 7 days. They can either:
- Sign in (if they already have a BestAI account) and click the invite link.
- Sign up first, confirm their email, then click the invite link.
The email address on the invitation must match the email of the BestAI account that accepts it.
To revoke or resend, open Invitations and use the actions on each pending row.
5. Build your first chatbot
- Open Sites and click Register site. Enter your website domain.
- Use
acme-cafe.co.nzfor an exact match, or*.acme-cafe.co.nzto cover any subdomain. - Wildcards do not include the bare root domain. If you also need
acme-cafe.co.nz, register it as a second entry.
- Use
- Open Chatbots and click Create chatbot.
- Pick the site you just registered and give the chatbot a name your team will recognise.
- On the chatbot detail page, copy the embed snippet from the Embed snippet card.
A typical snippet looks like this:

6. Put the widget on your website
- Open your website’s HTML template (or your CMS template, for example WordPress, Shopify, Wix).
- Paste the snippet just before the closing
</body>tag. - Save and publish.
Refresh the page. A small chat button should appear in the bottom corner. Click it, send a message, and you should see a streaming AI reply.

7. (Optional) Bring your own LLM key
By default BestAI uses our own Anthropic key, so you do not need to do anything to start chatting. If your business has compliance, billing, or model preferences, you can plug in your own provider key from Anthropic, OpenAI, Groq, or DeepSeek. See the BYOK guide.
Common questions
I did not receive the confirmation email. What now?
Check your spam or junk folder, then add noreply@yai.nz to your contacts. If it still does not arrive, use Forgot password on the sign-in page. The reset flow also confirms the account.
My invite link says “expired or invalid”.
Invitations are valid for 7 days, email confirmation links for 24 hours, and password reset links for 30 minutes. Ask your admin to resend, or start the relevant flow again.
Can I delete my account?
We do not yet offer self-service account deletion. Email hello@bestai.co.nz and we will action it for you.
What happens to a workspace if I leave?
Every workspace must have at least one active Owner. You cannot leave while you are the only Owner. Promote another member to Owner first, then leave.
Is my data isolated from other businesses?
Yes. Every record in BestAI is tagged with your workspace ID, and queries always filter on it. We test cross-workspace isolation before every release. If you ever see another business’s data, send us the request ID from your browser network panel and we will investigate immediately.
